This policy explains how we handle information when you message the TejVijTech SAP Assistant on WhatsApp about our SAP Implementation Project Programme or our freelancer support role, and when you register for or use the TejVijTech Academy at tejvijtech.com/academy.

What we collect

Your WhatsApp phone number and profile name.
The messages you send us and the replies you receive.
Details you choose to share, such as your name, SAP module, experience and availability.

How we use it

To answer your questions about the programme or freelancer role.
To follow up with you, including a call or message from our team if you ask for one or if the assistant cannot answer.
To keep a record of enquiries so we can improve our service.

Automated replies and service providers

Replies are generated automatically. Your message text is sent to Anthropic (the Claude AI service) to produce a reply, and messages are delivered through Meta’s WhatsApp Business Platform. These providers process data under their own terms and privacy policies. We do not sell your information.

How long we keep it

We keep enquiry records only as long as needed to respond to you and manage the programme, unless the law requires longer.

Your choices and data deletion

You can ask us at any time to see, correct or delete your information. To request deletion, email us at the address below, or message “delete my data” to this WhatsApp number, and we will delete your records within a reasonable time. You can stop messaging us at any time.

TejVijTech Academy (registration, learning and payments)

If you apply to or join the Academy, we also collect and use the following.

What we collect: your name, email, phone number, the details you give when applying, your task submissions, attendance, lesson progress, class participation and support messages.
Payments: card, UPI and bank details are entered on Razorpay’s secure checkout. We do not see or store them; we receive only the payment status, amount and reference.
How we use it: to run your account and the program, review your work, send notices such as class times and payment receipts, issue certificates, answer support questions and keep the service secure.
Sharing: only with mentors and coordinators who run your program, Razorpay to process payments, our website and hosting providers, and authorities when the law requires. We do not sell your personal data.
Security and retention: access is limited by role, passwords are stored in hashed form and files are kept in private storage. We keep records for as long as needed for the program, for legal, tax and audit needs, and to verify certificates.
Cookies: the website and Academy use cookies or similar storage needed for login and for the site to work.
Deleting your Academy account: to request deletion of your Academy account and personal data, email hr@tejvijtech.com from your registered email address with the subject “Delete my Academy account”. We will delete your account, profile, task submissions and messages within a reasonable time. We may keep payment records, receipts and certificate verification records where the law or our accounting needs require it.
